Recently, we overheard one of the therapists expressing concerns about their cancellation policy and pondering how others in their field manage cancellations within their private practices.
This prompted them to take action by drafting a clear set of policies: specifically, that clients must provide at least 24 hours' notice before a cancellation to avoid being charged. For those who need to cancel within 48 hours, a fee will still apply but they can get a freebie consultation per calendar year, once they commit to move their mindset. Furthermore, if a client calls on the same day to cancel, they have the option to switch to a telephonic or video call session, or, alternatively, to pay for the missed appointment. Establishing and clearly communicating these policies to clients is essential, as it not only minimises the occurrence of no-shows but also aids in the growth and scalability of the therapist’s practice. Having these guidelines in place provides both clarity and structure, ultimately benefiting both the therapist and their clients.
